AI receptionist for HVAC

An AI receptionist for HVAC that doesn’t stop at answering the call.

AI Voice answers inbound HVAC calls, captures the caller and what they need, and turns the conversation into a request your office can review, own, and follow through.

Where it usually breaks

Getting the call answered is not the same as getting the work done.

An answered call still becomes a message, a note, or a name someone means to ring back. When the callback is assumed rather than owned and dated, it slips — and the customer is still waiting while everyone believes it was handled.

That gap is between intake and completion, which is the part Keptro is built for.

During the call

What AI Voice does when someone calls.

Answers the calls you route to it
Selected inbound calls are answered when it fits the phone workflow agreed for your office — including after-hours or busy-office routing configured during setup.
Holds an HVAC conversation
The call is scoped to what an HVAC office actually needs to know, not a generic message-taking script.
Captures who called and why
Caller name, the kind of service needed, what is happening, and the callback context.
Writes it down
A written call summary stays attached to the request, in the caller’s own terms.

After the call

The part answering the call doesn’t solve.

The call does not end in an inbox. It becomes tracked work with a name against it.

  1. 1

    The call becomes a request

The completed call becomes a Keptro request, attributed to AI Voice, with the caller and service context already filled in.

  2. 2

    Your office reviews it

Your team confirms what is true. Nothing is scheduled, promised, or closed on the AI's reading of the call.

  3. 3

    Someone owns the next step

The request carries an owner and a next action — and a due date or callback where one was promised.

  4. 4

    Follow-through stays visible

Overdue callbacks, waiting customers, and unfinished work remain in view until they are actually resolved.

One call, start to finish

From a ringing phone to a request someone owns.

Below is a real test call, replayed. The caller and the office team are made up. What Keptro does with the call is not — including the part where the request sits there with nobody’s name on it until someone takes it.

A written record of the call

A written call summary stays attached to the request, so your office is not working from a second-hand account of what the customer said.

Your office stays in control

The AI handles intake and context. Your team confirms what is true and decides what happens next — nothing is committed to the customer on the AI’s reading of the call.

What it does not do

Worth being clear about the edges.

AI Voice captures the call and creates the request. It does not:

  • Schedule or book a job on your calendar
  • Dispatch or route a technician
  • Transfer callers to your office or an on-call phone
  • Send text messages to customers or staff
  • Handle calls in Spanish or other languages
  • Decide what counts as an emergency, or act as an emergency service
  • Replace your office staff or your phone system

Fitting your phone workflow

Set up around the phone setup you already have.

Your current phone setup

Keptro is configured around the phone workflow agreed for your office. Exact routing — which calls reach AI Voice and when — depends on your current phone setup and is mapped during implementation rather than assumed.

Already using another AI answering service?

You may not need to replace it. We can review whether its call summaries or events can feed your Keptro follow-through workflow. Whether that fits depends on what your provider can send, so we will tell you honestly either way.

Common questions

Straight answers before you talk to us.

Does AI Voice answer HVAC calls?
Yes. Inbound calls routed to AI Voice are answered, and the conversation is scoped to what an HVAC office needs to know — who is calling, the kind of service needed, and what is happening.
Can it answer after hours?
Calls you route to AI Voice can be answered when it fits your phone workflow, including after-hours or busy-office routing configured during setup. Routing is configured for your office; Keptro does not claim guaranteed round-the-clock coverage.
Can it book a job on my calendar?
No. AI Voice does not book jobs or write to a calendar. It captures the request so whoever schedules can act on it with the context already written down.
Can it transfer callers to my office?
Not today. If a caller needs a person, the request is captured and put in front of your team to follow up.
Can it send texts?
No. Text messaging is not part of the current capability.
Can it dispatch a technician?
No. Keptro does not dispatch anyone. It makes the request, its owner, and its next action visible so your team can act.
Does it handle emergencies?
No. AI Voice is not an emergency service and does not decide what counts as an emergency. Safety-related wording a caller uses is captured and surfaced for your team to review. Anyone who believes they are in danger should hang up and call 911 or their gas utility.
Can I keep my existing phone setup?
Routing depends on your current phone setup. Keptro is configured around the phone workflow agreed for your office, and the exact routing is mapped during implementation rather than assumed.
What happens if the AI gets something wrong?
Nothing is acted on automatically. The summary and the extracted caller and service details are supporting context for your office — your team confirms what is true before anything is promised or scheduled.
What if I already use another AI answering service?
You may not need to replace it. We can review whether your provider's call summaries or events can feed your Keptro follow-through workflow. That is an honest review, not a guarantee — it depends on what your provider can send.
Does it work with ServiceTitan, Jobber, or Housecall Pro?
Keptro is designed to work alongside the systems already running your business, not to replace them. It does not write into those systems today; it keeps the ownership, callbacks, and unfinished follow-through visible between them.
Which phone number ends up on the request?
The request carries the number the call actually came from, taken from the phone network — not a number the AI may have misheard during the conversation.
